Administration
Why is my navigation menu different to other staff members?
There are two versions of the green navigation bar at the top of WorkflowMAX.
The old version includes the following Tabs:
- Dashboard
- Clients
- Jobs
- Business
- Reports
The new version includes the following tabs:
- Dashboard
- Sales
- Purchases
- Jobs
- Invoices
- Timesheets
- Reports
In both cases, access to certain tabs is controlled via Staff Permissions.
It is possible to toggle between the different versions by clicking on your initials at the right hand side of the navigation bar and sliding New Navigation on or off.
How can I export all data from WorkflowMAX?
To complete a full data export from WorkflowMAX, please navigate to:
'Settings' > 'Export' > Account Data Export > 'Request Export'
Does WorkflowMAX have dark mode?
No, WorkflowMAX does not have dark mode. If you are seeing this feature, it is most likely being applied by a browser extension installed on your device
How can I start a new trial of WorkflowMAX?

How do I sign out of WorkflowMAX?
To sign out, please click on your initials at the right-hand side of the top navigation bar and then click on Log Out.
I previously had a trial of WorkflowMAX, can I get another one?
If you've used your original 14-day free trial, you can extend your trial by 3 days. Just log in and follow the on-screen instructions.
If you've used your additional three days or would like another trial, please contact the support team.
How do I delete a phase after I've created it in WorkflowMAX?
To delete a phase from a job record, click on the Phases tab in the job.
In the phases list on the left, click on the name of the phase you wish to delete.
On the right, click on Edit Phase and click Delete.
A confirmation window will appear advising that any items contained in the phase will be moved to Unassigned. Click Delete Phase.
Can the pricing mode in WorkflowMAX invoices be set to default to Fixed Price?
While the settings in the system allow quotes to default to using Fixed pricing, this is not necessarily the case for invoices.
If an invoice is raised against a quote that used fixed pricing then the invoice will automatically use the same pricing mode.
However, if an invoice is raised in any other way then it will always default to using Calculated Pricing.
It is worth noting that there is no ability to edit which columns are visible in the tables in the invoice screen.
What is included in a Account Data Export?
An Account Data export includes all of your data from your WorkflowMAX account, such as jobs, invoices, quotes, purchase orders, and other related records.
You may wish to run an Account Data Export to review the fields included in the file.
If you are the Account Holder, the exported file will be sent to your registered email address once the export has been completed.
Quoting
Can I get a tax-exclusive total on a quote in WorkflowMAX?
Quotes in WorkflowMAX include a Subtotal which will display the value of the quote before taxes are added.
This field is present in quote custom document templates.
Can I add a document to a quote that I am going to email?
When emailing a quote, if you wish to include additional files alongside the attached PDF of the quote, these need to be added to the documents section of the Quote record.
When you click to email the quote, click Add Attachment at the bottom of the email window, select the files you wish to attach, and click Add Attachment.
Is it possible to revise/edit a declined or cancelled quote and make changes to it?
While it is possible to revise an issued quote, it is not possible to revise a declined quote.
Jobs
Why can't I see all staff members when assigning to a job in WorkflowMAX?
Once the staff records have been created, if they are still not available to allocate to a job, check that the staff record is flagged as 'Currently Working'. If this box is not checked, the staff record will not be available for assignment to jobs.
How can I view the history on a job?
In your job, navigate to the top-right corner and click history. From here, you'll be able to view a full audit trail of the key actions that have taken place within that job.
I have a cost recorded on my job that I want to keep for audit, but don't want the cost showing in my financials. What can I do?
Record the Cost again with all of the same details as before but with two amendments: Mark the new Cost as non-billable, and set the quantity as a negative. This new negative Cost will cancel out the values of the original Cost.
Allocated hours per staff on the task table
If you cannot see the allocated hours on a task unless you click on the tasks:
We'd recommend enabling the Staff Allocation column on your Job by clicking the cog icon on your task table.
Once that's enabled, the task table will show the staff name along with their allocated hours.
Can I multiple select costs, so I don't have to drag and drop?
You can use the checkboxes next to each cost to select them. When you do this, the Assign To button will appear at the top of the phases list.
Click Assign To and select the desired phase.
How do I reassign more time to a project that is complete?
In order to add Tasks, Costs, or timesheets to a completed Job, you need to amend the job status to an active state (such as In Progress). This will unlock the Job and you will be able to record the additional time you need.
It is also worth noting that if you marked any individual tasks as complete this will also lock these specifically against adding further time to them. Simply click on radio button for that task under the Completed column to open the task again.
When you have recorded the time you need, just mark the job status as complete again and this will once more lock the Job to any further entries.
Why are the costs/tasks crossed out on my Job's Financial tab?
Tasks or costs crossed out on the Financial tab of a job means that those items weren't part of the originally accepted quotation.
Timesheets
How do I remove a task from my drop-down timesheet selection?
To prevent a job task from appearing when adding time in the weekly timesheets view, remove the allocated staff from that job task. Once removed, the job task will no longer appear in the dropdown menu when logging time.
Please note that any job tasks already added to the weekly timesheets table will remain there, but will no longer appear as a dropdown option when adding new tasks going forward.
Invoicing
Why is there no "New Final Invoice" option in the "Job Actions" dropdown menu?
In the job record, under the details tab, if the checkbox named Exclude from Estimated Billings is checked, it will remove the options to create a new progress or final invoice.
How can I produce or generate a payment receipt in WorkflowMAX?
It is not possible to produce a payment receipt in WorkflowMAX. This would typically be actioned in your accounting platform (Xero or QBO)
Why can I not change my invoice sequence in WorkflowMAX?
If your account is connected to Xero, the invoice sequence field will be greyed out. It's likely that your Xero settings are set to use Xero's number sequencing. You can confirm this by going to Settings > Integrations > Xero Setup Integration and looking for Invoice Number Sequence.
When using this setting, you are required to change your invoice sequence settings within Xero.
Alternatively, revert to using the WorkflowMAX Invoice sequencing for more control over your invoice number sequence.
What does ticking a timesheet as future mean when invoicing?
Flagging individual timesheet entries in an invoice as Future will carry forward the Work In Progress value of the entry and the timesheet will be available to invoice in the future.
How can I delete just the duplicate interim invoice when there is a duplicated interim amount but only one invoice in WorkflowMAX?
If a single invoice has duplicate interim, we recommend cancelling the invoice then recreating it with the correction. In the job record, go to the Financial tab and scroll down to view the invoices raised against the job.
Click into the invoice you wish to cancel. click on Options and select Cancel Invoice.
If the invoice has any payments recorded against it then these will need to be deleted first before you can delete the invoice.
Can you assign timesheets against an invoice in WorkflowMAX?
If the invoice was raised in WorkflowMAX as an Actual Time & Costs invoice then the invoice will incorporate any timesheet entries up to and including the date of the invoice. This is true for both progress and final invoices.
If a final Quote-based invoice is raised then this will effectively incorporate any timesheet entries recorded against the job to date because as part of the function of the final invoice, any outstanding WIP (including unbilled timesheets) will be cleared down.
Note that quote-based progress invoices or deposit/interim invoices (which include invoices imported from Xero) will not incorporate any timesheet entries.
A further invoice will need to be raised using Actual Time & Costs in order to clear down any unbilled timesheet entries along with the interim invoice.
Why can't I generate an invoice as a percentage?
When raising a new progress invoice, if there is no option to invoice a percentage of the quoted value, this will be because the job does not contain an accepted quote.
How can I create an invoice in WorkflowMAX without it exporting it to Xero?
If your WorkflowMAX is integrated with Xero then whenever you approve an invoice it will be exported to Xero.
You could choose to disconnect from Xero before you approve the invoice and then reconnect to Xero after the invoice is approved. This will prevent the invoice from being exported although you can always manually export the invoice later if needed.
Why are my tasks not showing up when I generate an invoice?
If no tasks are showing up when you invoice, or it just shows unassigned, it's possible that you're generating a progress invoice against actual tasks/costs with no time logged against those tasks.
If you have a quotation, try raising a progress invoice from your quoted tasks or double check that you have time logged against your tasks.
Purchase Orders
How do I find a purchase order that is not showing up in Purchase Order Manager?
When you open the Purchase Order Manager you will initially see the list of Active Purchase Orders. If the one you are looking for is not listed then click on ALL Purchase Orders. This screen will display all purchase orders in the system whether they are active completed or cancelled.
How can I add a purchase order to a job that has already been completed?
When a job is completed it will no longer appear in drop down lists when creating a new Purchase Order from Quick Add option on the dashboard or from the Purchase Order Manager screen.
You will need to open the job record and use Job Actions to create the new Purchase Order.
I need to cancel a bill (credit) but it won't allow me.
You will not be able to cancel or delete a client invoice in WorkflowMAX if it has any payments applied to it.
Click on the Payments tab in the invoice and if any payments are listed, click on each in turn and click Delete.
Once all payments have been removed, click on Actions in the invoice and select Cancel or Delete.
What does the "Change to estimate" option when cancelling a purchase order in WorkflowMAX?
If you choose Remove, then your cost will be removed from the job entirely.
If you choose Change to Estimated, then if the cost was originally an Actual cost, it will be reverted to an Estimated cost.
Reporting
What reports in WorkflowMAX include the field 'bill name'?
The only type of report that will display the Bill Name is a Custom report that uses the Purchase Receipt type.
The field labelled '[Receipt] Supplier Bill Number' will display the Bill Name.
How can I view missing timesheets?
How can I adjust my custom invoice report in WorkflowMAX to show all of my 'in progress' jobs?
In an Invoice type custom report, if some jobs are not listed, one option would be to check that there has been an invoice raised against the job. If no invoice has been raised then the job will not appear in the report.
How can I amend my custom invoice report in WorkflowMAX to include all of my 'in progress' jobs?
The Invoice type custom report does not have access to the Job Status field and so it will not be possible to add the Job Status as a criteria by which to filter the report.
How do I run a search in WorkflowMAX to list all clients who have specific custom field checkboxes ticked?
In order to see only those clients where a checkbox custom field has been checked, you will need to create a custom filter view.
Click on the filter drop down at the top right of the client list and click Create New Filter View.
Search for the name of the custom field and select it.
Set the condition as Yes.
Click Next.
Give the New Filter View a suitable name.
Select whether the filter view is to be private (for the logged in user only) or shared (available to all users).
Click Save.
It can also be a good idea to include the custom field as a column in the client list.
Is there a report that would show me if a job was taken out of WIP without been invoiced?
The Custom WIP Ledger Report includes the field called 'Billed?'. This contains 3 options:
Yes - Invoiced
Yes - Written Off
No
The field can be selected as a Criteria in section 3 of the custom report and the selection can then be made to show those ledger entries which are classed as Yes - Written Off.
What report would I use to determine jobs that still have time on them to invoice for a specific month?
In order to review any time recorded within a specified date range and that is still to be invoiced, the best option is to create a custom report using the WIP Ledger report type.
The report can use the Ledger Date field as a criteria to frame the desired time period and the Billed field can be used as a criteria to at any entry where Billed = No.
Use the Ledger Type field as a criteria to display only Time entries in the report.
Which report type in WorkflowMAX includes job tasks and job costs?
In Custom reports, Tasks and Costs are not commonly found in a single report, with one of the only exceptions being the WIP Ledger type report.
The Job type report will refer to overall values of Time and Costs but will not provide a detailed breakdown.
If detailed reporting is required on both Tasks and Costs then it is common practice to create one report for Tasks, such as a report using the Job Task type, and one for Costs, such as a report using the Job Cost type report.
Can I change how WIP is calculated?
No, you are unable to change how WIP is calculated in WorkflowMAX.
Troubleshooting
"The current state of the job does not allow costs to be entered/edited"
The error message 'The current state of the job does not allow costs to be entered/edited.' appears when the currently selected job status is locked to prevent the addition of further Costs. To remove the lock, go to Job Settings Job Status.
Click on the status name. Under the Lock Section, uncheck the Job Costs box and click Save.
It should now be possible to add Costs to jobs with that status.
"Error - 707 - "API Exceptions: Xero validation exception occurred. Invoice # must be unique when trying to queue the invoice export to Xero?"
This error implies that you are trying to push an invoice to Xero where Xero already has an invoice saved with that number. Please either edit your Invoice number sequence or delete the existing invoice associated with that number from Xero.
UI
What does time highlighted in green indicate?
When your time is highlighted in green, it can mean a couple of different things.
1 - Your timesheet has been submitted and is locked.
2 - Your time has been associated with an invoice
3 - Your task has been marked as complete
On the job manager, what do the two figures in the Budget £ column represent?
The first is the billable value of any actual time and costs recorded against the job. The second figure is the Budget figure recorded against the job but if the job includes an active quote then the second figure will reflect the total value of the quote including tax.
Documents
What does the public Yes/No toggle within documents mean?
Marking a document as Public yes/no has no impact. This is a legacy only field, it is present in product to assist existing customers who are still using it. It will be phased out after a notification period.
