The Pipeline view (labelled Board in your account) is a visual board inside Leads that shows each of your leads as a card in a column, with one column for every lead status in your sales pipeline. You drag cards between columns to move leads through your pipeline, and a metrics bar across the top summarises the value and health of that pipeline. The view is built for sales and admin users who manage leads day to day.
Available on: Standard and Premium organisations with the Lead Manager add-on. The Pipeline view is available during the full account trial – there is no separate feature trial for leads.
What is the sales pipeline?
Your sales pipeline is the set of stages a lead passes through from first enquiry to a won or lost outcome. In , each stage is a configurable lead status, and each status becomes a column on the Pipeline view. Every lead sits in one status at a time and carries an estimated value – the amount of business the lead represents. Adding up those estimated values, and weighting them by each status’s likelihood of closing, gives you the pipeline figures shown in the metrics bar.
To create or change the statuses that drive the columns, see Manage lead statuses.
Key terms
| Term | Description |
|---|---|
| Lead | A potential piece of work or sale you are tracking before it becomes a job. |
| Lead status | A configurable stage in your pipeline (for example, Initial Enquiry or Proposal Sent). Each status is one column on the board. |
| Status type | The behaviour category of a status – Standard, Won, or Lost. The type controls what happens when a lead reaches that status and how the lead counts towards the metrics. |
| Stage probability | The percentage chance (0–100) that a lead in a given status will be won. Set per status, not per lead. Used to calculate weighted pipeline value. |
| Estimated value | The monetary value recorded on a lead. The basis for every value metric on the board. |
| Weighted pipeline | The total estimated value adjusted down by each status’s probability, giving a likelihood-adjusted forecast. |
| Lead age | The number of days since a lead was created. |
How pipeline metrics are calculated
The metrics bar shows five figures. All five respect the current scope tab (Active Leads, My Leads, or All Leads) and any active filters – they are recalculated whenever you change tab or filter. Metrics are computed over your whole filtered set of leads, not just the cards currently on screen, and they are not affected by hiding columns.
- Total Pipeline Value – the sum of the estimated value across all leads in the current view. Use this to answer: what is the total value of the leads I am currently looking at?
- Weighted Pipeline – the sum of (estimated value × stage probability ÷ 100) across all leads in the current view. Use this to answer: based on how likely each lead is to close, what is my realistic forecast?
- Won Value – the sum of estimated value for leads in a Won-type status, with a count of those leads. Use this to answer: how much value have I won in this view?
- Lost Value – the sum of estimated value for leads in a Lost-type status, with a count of those leads. Use this to answer: how much value have I lost in this view?
- Avg Lead Age – the average number of days since creation across all leads in the current view. On the Active Leads tab this is labelled Active Leads Only; on the other tabs it is labelled All Lead Types.
Won Value and Lost Value are determined by the type of the status the lead currently sits in – a lead is “won” because it is in a Won-type status, and “lost” because it is in a Lost-type status. There is no separate won/lost flag to set.
Access the Pipeline view
- In the navigation bar, click .
- Click the Board tab.
The board opens on the Active Leads scope by default.
You need the Lead Management privilege (see below) to open Leads and the Pipeline view. If the board does not appear in your account, it may not yet be switched on for your organisation – contact your administrator.
Permissions
Access to leads is controlled by the Lead Management privilege. There are three levels, set per staff member:
| Level | What it allows on the Pipeline view |
|---|---|
| No Access | Cannot open Leads or the Pipeline view. |
| Create/Edit Access | Can open the Pipeline view and work with leads, but does not see the All Leads scope tab. |
| Full Access | Full use of the Pipeline view, including the All Leads scope tab. |
Read the pipeline metrics
The metrics bar sits above the columns and summarises the current view.
| Metric | Shows |
|---|---|
| Total Pipeline Value | Total estimated value of the leads in view, with a lead count. |
| Weighted Pipeline | Likelihood-adjusted total (estimated value × stage probability ÷ 100). |
| Won Value | Total estimated value of leads in a Won-type status, with a lead count. |
| Lost Value | Total estimated value of leads in a Lost-type status, with a lead count. |
| Avg Lead Age | Average days since creation for the leads in view. |
Use the Hide Metrics button in the toolbar to collapse the bar. The button then reads Show Metrics to bring it back. This preference is saved to your account between visits.
Switch between Active, My, and All Leads
Three scope tabs above the board control which leads appear and what the metrics reflect:
- Active Leads – leads that are still open (not yet won or lost). Won and lost leads do not appear here, so Won Value and Lost Value read as zero on this tab.
- My Leads – every lead assigned to you, including won and lost leads.
- All Leads – every lead in your organisation, including won and lost leads. This tab is only available with the Full Access level of the Lead Management privilege.
Each tab shows a count of the leads it contains.
Work with leads on the board
Move a lead between statuses
Drag a lead card from one column and drop it on another. The lead’s status updates to the destination column, and the change is recorded in the lead’s history.
- Dropping a lead on a Won-type status triggers the Mark as Won flow – the quote/job conversion modal – before the move is confirmed.
- Dropping a lead on a Lost-type status triggers the Mark as Lost confirmation before the move is confirmed.
Once a lead is in a Won-type or Lost-type status it leaves the Active Leads tab and stops contributing to the open-pipeline totals on that tab. Its value instead appears under Won Value or Lost Value on the My Leads and All Leads tabs.
Search
Use the Search box in the toolbar to filter cards by lead name, company, value, contact, category, lead owner, estimated duration, and your lead custom fields.
Filter
Click Filter to open the filter panel and narrow the board by criteria such as client, category, status, estimated value, and dates. A badge on the Filter button shows how many filters are active. Filters apply to both the cards and the metrics.
Show or hide columns
Click Options to open the Display Options panel.
- On the Lead Statuses tab you can show or hide individual status columns and reorder them.
- On the Lead Details tab you can choose which fields appear on each card.
Your column and field choices are saved to your own account and do not change the board for other users. Hiding a column does not affect the metric totals.
If you hide every column, the board shows a message prompting you to use Display Options to show a status, or go to Settings to add new ones.
Create a new lead
Click Create New Lead to add a lead. New leads appear on the board in their assigned status.
View history
Click History to review the activity log. Status changes made by dragging cards are recorded here as Status changed to [status name].
