If two duplicate progress invoices have been sent out, creating a credit note is the best way to make the necessary correction in .
To create a credit note for a duplicate progress invoice:
- On the Dashboard, click + Quick Add > + Create new progress invoice.
- On the New Invoice screen:
- Select your Client and (if required) Contact.
- Make sure that Job Invoice is selected.
- Change the Invoice Date if required (today's date is used automatically).
- Select Actual Time and Costs.
- Select the job (or jobs) that you wish to create the credit note for. If you select more than one job, follow Steps 3-5 below to add the required credit amount to each job.
- Click Next.
- On the New Invoice - Draft screen, scroll down to the Costs section, click + Add A Cost.
- On the Add new cost screen, provide the following information, as required.
Field Description Job Shows the name of the job you selected.
Quantity For a credit note this value needs to be a negative quantity. In the Quantity field type -1.
Search or create a new cost For a credit note, use this field to provide details of the reason for the credit note. For example: Credit against final invoice #Inv0012345.
As you type the name of the cost item, attempts to match the text against existing cost items in the Costs database:
- If the text matches the name of an existing cost record, and you want to use that record as the basis for your credit note, click its name to select it.
- If the text does not match the name of an existing record or you want to create a temporary cost record just for the credit note, click Create "[name]" when you have typed the full name.
Unit Cost This cost is not used when producing a credit note, so the value can be zero.
Unit Price The amount shown in this field will be used to cancel out part or all of a previous invoice to the client. This is the pre-tax amount, so do not include tax in this price. will calculate the correct tax amount, based on the value you select in the Tax drop-down list.
Type Select the Type of Service as the credit is not a physical stock item.
Cost Code This reference code is not required for a credit note. Leave the Cost Code field blank.
Billable Make sure the Billable switch is selected
so that the total value of the credit note can cancel out the required amount in the earlier invoice.
Tax 1 The tax name and rate to apply to the credit note. Select the same rate that was applied to the original invoice.
Tax 2 The tax name and rate to apply to the credit note. Select the same rate that was applied to the original invoice. Tax 2 can be left as Select Tax Rate unless you need to apply a second tax rate such as in the case of federal and local taxes.
Cost Notes Any comments or notes relating to the credit note.
- Save your changes.
- Click Save & Approve. The credit note is created and allocated the next available invoice number.
- Take a note of the invoice number so you can easily find the credit note.
- On the Business > Invoices > Awaiting Payment tab:
- Select the checkbox to the left of the invoice number of the credit note you have just created.
- Click Mark as Paid. The credit note appears on the Invoice Manager's Paid tab, on the Client's Invoices tab (Status = Paid), and also on the job's Financials tab.
