You can configure your email settings to personalise the way that sends out various types of email messages.
Email addresses - From and Reply-To fields
When you send email to your clients from your account (for quotes or job notifications, for example), the email message will contain a:
- From address, which is what the recipient sees as the sender.
- Reply-To address, which is the address the recipient's email is sent to when they click "Reply".
The content of these addresses varies depending on the type of email message sent. For example, imagine your details are as follows:
- your name is Jo Kent (in your Staff record), and you
- are the accounts administrator at "companyname"
- have logged in to using the email address: jo.kent@companyname.com
- have specified "accounts@companyname.com" in the Invoice Sender Name field (see Configuring email settings, below).
Email type | From address | Reply-To address |
---|---|---|
Invoice | accounts@companyname.com <no-reply@post.workflowmax2.com> | accounts@companyname.com < jo.kent@companyname.com> |
Quote Estimate Purchase order |
Jo Kent <no-reply@post.workflowmax2.com> | Jo Kent <jo.kent@companyname.com> |
Job notification | WorkflowMax <no-reply@post.workflowmax2.com> | no-reply@workflowmax2.com
This address does not accept replies. |
Configuring email settings
To configure your email settings:
- On the toolbar click the Settings
icon.
- On the Feature Settings tab, make sure that the Personalise section is selected.
- On the Email tab, provide the following information, as required.
Field Description Email Sending Settings Invoice Sender Name When you email an invoice to your clients from your account, the name you enter in this field will be used in the "from" and "reply to" addresses (see example above). It is used for invoices only.
Default Email Subject Invoices
Quotes
Estimates
Purchase Orders
Job Notifications
Use the default email subject lines as specified, or type the available placeholders to modify the defaults, as required.
Each placeholder will be replaced by the value of the specified item from the database. For example, the {JobNumber} placeholder would appear as J000123 in the email subject line.
The text in all the placeholders you use must match exactly the words and capitalisation shown, so you need to type {JobNumber} not {Jobnumber} or {jobnumber} or {Job Number}.
- Save your changes.
