When adding or editing a new client, you can add a new contact A contact is a person within a client organisation that staff in your organisation may deal with. for that client.
When you add a contact on the New Contact screen, you can assign the contact to multiple clients, if you wish.
To add a new contact on the New Contact screen:
- On the main menu, click Clients.
- On the Clients screen, Contacts tab, click + Create New Contact.
- On the New Contact screen, enter the information about the contact. For more information about the fields, see the data fields reference below.
Typical examples are included in the following table from First Name onwards.
Field Description General First Name The first name of this contact person: Catrina
Last Name The last name of this contact person: Forster
Salutation The name to follow 'Dear' at the start of a letter: Catrina
Addressee The formal name used in templates for documents such as invoices: Ms C Forster
Contact Details Phone Contact phone number including area code: (04) 123-4567
Mobile Mobile number: (022) 234-5678
Email Contact email address: catrina@archwaybiz.com
- Add the client details for the contact. You must select one or more clients.
Field Description Client The name of the client to whom the contact is being added.
Position The position or job role that the contact has in the client organisation.
Is Primary Contact The primary contact is effectively the default contact for the client. Whenever needs to use the client and contact fields, it selects this contact, as opposed to any additional (non-primary) contacts. The primary contact appears first in the list of contacts on the client details screen.
When you send an email, the contact that is set as the primary contact is automatically added in the 'To' field of the email screen.
Include in Emails The contact is automatically added to the 'CC' field when sending an email.
- (optional) To add the contact to another client, click + Add Contact to Another Client and repeat Step 4.
- Save your changes.
