You can add single or multiple tasks at once to an invoice, as required.
Add a single task
To add a new task to an invoice:
- If required, navigate to the New Invoice - Draft screen:
- In the Business menu, select Invoices.
- On the Draft tile, drill down on the draft invoice you want to work with.
- On the New Invoice - Draft screen, in a Tasks section (if the invoice includes phases, there is a Tasks section for each phase. If there are no phases, there is a single Tasks section), click + Add A task.
- On the Add new task screen, provide the following information, as required.
Field Description Job The job number and name of the currently selected job. Task The name of the task to include in the invoice. Select the required task from the drop-down list. Time The time worked (hr:min) that you are billing the client for.
You can enter the time as hr:min (for example: 7:30) or as decimal 7.5 (7 ½ hours in both cases). The decimal value is converted automatically to minutes.
Label A label In tasks, a label allows you to use the same task multiple times. The label is automatically appended to the task name. For example, in a specific job, designs are required for a brochure, flyer and a handbook. So, a label can be used to identify the Design task for each item: "Design - Brochure", "Design - Flyer" and "Design - Handbook". to sub-divide the task into smaller parts, if required. Description Any comments, reference information or other details that you wish to include in the invoice. Phase Select a phase to assign this task to. If there are no phases on the invoice, the phase box is empty.
Billable Indicates if the task is to be included in billable work. Toggle ON
if work on the task is to be billed, leave it OFF
if it's not billable.
For example, you may have set up a non-billable 'Admin' task to capture time spent on administration work that cannot be billed to the client. By setting up the task as non-billable, you can still record work against the task to capture true costs for project management or payroll purposes.
Billable Rate The cost (per hour) for the work you are invoicing for. The cost billed to the client is calculated by multiplying the Time by the billable rate and adding any applicable tax (or taxes). Tax 1, Tax 2 The tax to be added to the calculated billable cost. If you have a second tax rate set up in your Organisation Settings > Financial settings, both rates are shown. Select the required rate. - Save & add your changes. The task information is added to the current draft invoice.
Add multiple tasks at once
To add multiple new tasks to an invoice:
- If required, navigate to the New Invoice - Draft screen:
- In the Business menu, select Invoices.
- On the Draft tile, drill down on the draft invoice you want to work with.
- On the New Invoice - Draft screen, in a Tasks section (if the invoice includes phases, there is a Tasks section for each phase. If there are no phases, there is a single Tasks section), click + Add Multiple Tasks. The Adding multiple tasks screen is displayed. All available tasks are listed so that you can select one or more to include in the invoice.
- Select one or more tasks to include in the invoice.
