Custom Billing Rates

To appreciate how custom billing rates work, you need to understand how they can be used to override the default billing rates.

Overriding the default billing rates

In some cases you may wish to use special billing rates for certain clients, jobs, tasks or staff members. WorkflowMax allows you to do this by setting custom billing rates to override the default billing rates.

Specifically, a custom billing rate can be set up for:

  • a staff member performing a specific task in any job
  • a task when it is being performed for a specific client
  • a task in a specific job
  • a staff member performing any task in a specific job.

The hierarchy of overrides works like this when billing a specific job for a specific client:

  • use the default task billable rate or staff billable rate based on the setting of Task Invoice Rate to Task Billable Rate or Staff Billable Rate
  • if there is a custom staff rate for a specific task, use that custom rate instead
  • if there is a custom rate for a task when it is being performed for the specific client, use that custom rate instead
  • if there is a custom rate for a task in this job or for a staff member when working on this job, use the task billable rate or staff billable rate based on the job's setting of Task Invoice Rate to Task Billable Rate or Staff Billable Rate.
